7. Cancellation and Missed Appointment Policy
Paddington Smiles Clinic requires a minimum of 48 hours’ notice to cancel or reschedule an appointment in order for the full deposit to be refunded.
If less than 48 hours’ notice is provided, or if a patient fails to attend their appointment, the clinic reserves the right to retain the deposit to cover costs incurred, including clinical time, staffing, and administrative expenses.
Exceptional Circumstances
In exceptional circumstances, where a patient was genuinely unable to notify the clinic within the required timeframe due to unforeseen or unavoidable reasons, the clinic may, at its discretion, consider a deposit refund.
Patients must submit a separate written request explaining the circumstances. Each request will be investigated fairly and individually. A refund will only be issued if the reason is deemed valid.
This policy is applied consistently and proportionately, in line with CQC principles of fairness and transparency.
